Summary
Our legal assistants are responsible for day to day desk coverage for up to six attorneys including administrative responsibilities, document production in various software applications, telephone support, and general office support. The assistant will also have knowledge of departmental policies and procedures and familiarity with various legal departments within the Firm.
Essential Duties & Responsibilities
- Provide comprehensive administrative support and assist with legal research for a minimum of 3 Private Client attorneys, including firm partners
- Draft and revise estate planning documents (e.g., powers of attorney, probate pleadings, estate planning binders, etc.) as well as correspondence, reports, and other materials as requested
- Prepare engagement letters, run conflicts checks, create and maintain client and general files, and search and print reports
- Enter and manage attorney time entries
- Work closely with attorneys in the preparation of Federal and State estate and gift tax returns, as well as other fiduciary assistance (e.g., fiduciary income tax returns)
- Coordinate and implement a high volume of charitable donations on behalf of high-net-worth individuals
- Interface with charities to obtain details for implementation and tracking
- Act as a liaison with clients, accounting, and legal groups
- Review accountings; maintain checkbooks and banking records, and pay monthly bills and trustee commissions
- Work with the Billing Coordinator to prepare invoices, create cover letters, and send invoices to appropriate personnel
- Perform administrative tasks including, but not limited to: screening calls, processing mail, maintaining calendar and deadline reminders, coordinating meetings, managing contacts, and arranging travel
Specific Skills, Knowledge & Abilities Required
• Advanced knowledge of: Windows, Microsoft Office (including Word, Excel and PowerPoint), Microsoft Outlook
• Familiarity with timekeeping, time & attendance, and expense reporting software
• Proficient in iManage or familiarity with document management systems
• Proficient knowledge of printers, color printers and scanners
• Ability to work through complex document markups and instructions in a timely manner
• Ability to juggle various assignments simultaneously
• Flexibility to work overtime, , or change shift to accommodate Firm needs
• Demonstrate confidentiality in all matters
• Ability to work effectively in a team environment
Education and/or Experience
- Additional college and technical training preferred
- 5+ years prior law firm administrative support experience required
- Notary Public preferred
